Confirm the loading window
Share the warehouse address, loading time, contact and expected shipment references. Confirm access and a delay plan. A visit booked for a time window does not imply unlimited waiting or access to every carton.
Write the counting method
Distinguish carton count, pallet count and individual product quantity. Agree whether records use labels, observed loading movements or opening selected cartons. Record inaccessible goods rather than converting assumptions into verified counts.
Photograph packaging and exceptions
Agree carton faces, visible labels, packaging damage and container conditions to record where accessible. Escalate an unexpected label or damaged carton through the agreed channel. Safety and site rules take priority over getting a camera angle.
Separate the visit from shipping approval
The handover should state the observed scope, exceptions, photo references and unknowns. A loading visit is not a freight booking, customs clearance or whole-shipment quality guarantee. The buyer decides whether further checks or shipment approval are appropriate.
