A useful visit begins with a question you need to answer. “Please check the supplier” is a starting point, but it does not explain what you want checked or which evidence will help your decision. Before a market visit, supplier video check or factory walk-through, turn that question into a short written brief.
Start with the decision
Write down the next decision: whether to request a sample, clarify a quotation, ask for corrections or continue a supplier discussion. Then list the information missing from that decision. A clear brief helps the person on site spend time on the details you actually need.
Confirm the exact place and access
Share the supplier name, address, contact person and available visit window. For a market, include the building, floor and booth number when known. For a factory, confirm who can authorise access and which areas can be seen. Photography, recording and video calls need permission; the visit should not depend on assumed access.
GetChinaHelp has execution bases in Shanghai, Hangzhou, Yiwu, Shenzhen, Beijing and Guangzhou. A base is a starting point for arranging the work. Availability, travel and the specific address are confirmed for each task.
Choose the evidence you want back
- For a product question, identify the model, variant and visible feature to record.
- For a quotation, request the currency, quantity basis, minimum order, lead time and exclusions.
- For a video check, agree the checklist, available samples and the order of priorities.
- For a conversation, list the questions to ask and the details that need written confirmation.
A live call lets you direct agreed checks in real time. A recorded visit lets you review material later. Neither format turns a visual observation into a laboratory test, certification or a guarantee for an entire shipment.
Agree the scope before paying
The written confirmation should identify the location, task window, priorities, deliverables, service fee and any travel costs. Clarify what happens if access is refused or the planned contact is unavailable. An alternative task should be agreed before it replaces the original scope.
After the brief and quotation are agreed, GetChinaHelp sends a Stripe payment link for the service fee. Goods payments remain separate and go directly to the supplier; Stripe payment processing is not an escrow arrangement for the supplier's goods.
Make follow-up specific
When reviewing the returned material, separate what was observed, what a supplier stated and what remains unverified. Link each open question to a next action: request another photo, obtain a document, clarify a term or arrange specialist testing. The value of fieldwork is a clearer record for your decision.
