If you cannot attend an exhibition, a local representative can help gather information and speak with exhibitors within an agreed scope. The most useful brief is a focused route and a list of questions, rather than a request to see everything at the show.
Rank the booths before the visit
Send the event name, date, venue and exhibitor list. Mark the booths that matter most and explain why: a product category, a material, a quoted specification or a contact you already know. A priority order makes trade-offs clear when queues, booth closures or travel between halls affect the available time.
Confirm entry requirements and whether a representative can attend under the organiser's rules. Admission, badges and photography permission should be checked before the task is confirmed.
Ask questions that can be followed up
“Is the quality good?” is difficult to turn into a reliable record. More useful questions identify a model, material, minimum order, sample arrangement, production lead time or quotation basis. If a claim needs technical proof, request the relevant document rather than treating a sales conversation as verification.
- Which model and variant were discussed?
- What quantity and currency does the quotation use?
- What is included in the stated price?
- Who will answer sample and specification questions after the show?
- What information is still missing or needs written confirmation?
Agree how the evidence will be labelled
Connect photos and notes to the exhibitor, booth and product reference. Keep an exhibitor's statement separate from a visible observation. A product shown at a booth does not by itself verify factory ownership, production capacity, regulatory compliance or the quality of a future order.
Photos, exhibitor contact details and meeting notes are more useful when you can identify which question each item answers. If recording is not permitted, agree another way to preserve the conversation.
Leave a clear handover
At the end of the visit, organise the follow-up by priority: exhibitors to contact, documents to request, samples to discuss and unresolved questions. The buyer decides which suppliers to pursue and agrees any later sourcing or inspection task separately.
See the trade-show attendance service and send your event and target booths. Access, schedule, deliverables, fees and any follow-up work are confirmed before payment.
